Project Management &
Sales Administrative Assistant

We are seeking an individual to assume the position of Project Management & Sales Administrative Assistant. The successful candidate will be a highly motivated and energetic performer. Further, they must exhibit a strong client orientation, high ethical standards, and be capable of maintaining a positive attitude in the face of constantly changing priorities. A strong desire to learn will be welcomed by a friendly organization with the willingness to train the right individual in the specifics of our company.

Skills required:

* Self starter with a take charge attitude
* Good phone skills, (able to get along with clients and suppliers)
* Organized and able to keep track of tasks which need follow up.
* Familiar with word processing and spreadsheets (Word & Excel preferred)
* Construction Office Experience Preferred

Assist a team of estimators and project managers to:

* Initiate and/or participate in subcontractor and supplier contact.
* Gather drawings, specifications, and addendums for specified projects and/or bid requests.
* Open awarded projects and schedule kickoff meetings
* Prepare transmittals/submittals

- Samples
- Shop drawings

* Obtain pricing, send out requests for information as per Project Managers’ instructions
* Oversee and maintain central filing of projects with a file system including designated folder tabs and electronic filing
* Process Purchase Orders for Project management/Field Supervisory signatures. Follow up with orders, Including delivery confirmation on MS Project
* Assists in preparation and maintenance of job schedules using Microsoft Project
* Writes Client's change orders with supervisor/PM approval - track status of proposed and approved change orders for multiple projects
* Prepares applications for payment for Project Manager's signature.
* Participates in punch list completion.
* Prepare and send warranty/closeout documents once approved by Accounting Dept
* Generate, and help analyze job cost reports

Other duties position can include

*Contract paperwork
* Job warranty & close out paperwork
* Screening through bid requests, scope take-offs, printing architectural drawings on plotter
* Assist in oversight of service requests

Salary

-Commensurate with experience

This is a full-time position based in our Northeast Philadelphia facility.
